Program Administrator

We are looking for an individual passionate about coral restoration and has a background in tourism or tour management to join our team.  You will ensure the smooth operations of the non-profit to ensure people requesting more information about our courses, volunteer positions and internships are quickly responded to. Similarly, you will be responsible for the daily operations of coordinating arrival/departure of volunteers and course takers, statistics about coral restoration and our equipment is properly accounted for.  You will be playing an important role to ensure that the CCRRP can scale its operations to have a larger impact in coral restoration.

Requirements

  • Cozumel local, open to Mexicans or residents with work permit

  • Fluent in English and Spanish

  • Degree in Tourism or Marine Biology related field highly preferred

  • Relevant past experience in coral restoration and coral reef conservation specialty highly preferred

  • Past experience in tours or scheduling management 

  • At least PADI/SSI Advanced Open Water Diver Certification. PADI/SSI Divemaster and Instructor and certifications highly preferred

  • Good organizational and scheduling skills 

  • Knowledge of Google Office or Microsoft Office. Comfortable writing documents and maintaining spreadsheets

Responsibilities 

  • You will oversee courses and volunteers on days German is too busy

  • Able to help respond to customer inquiries, partnership and internship requests through email and social media

  • Course-taker management and operations

    • Manage client course bookings and third party bookings through our booking platform (Bokun) and make adjustments to course calendar as needed. 

    • Coordinate with extra divemasters and snorkel tour guides for times when we need extra staff

    • Move/reschedule/refund bookings as situations come up

    • Communicate to client on any unforeseen changes

    • Check clients in when they arrive and make sure courses are paid

  • Volunteer management

    • When new volunteers arrive, ensure they receive training

    • Able to coordinate volunteers ensuring their questions and answered and that they are properly being tasked and performing their duties both above and below water

    • When volunteers leave, make sure any handover and equipment audit is done

  • Field Partnership inquires

    • Able to respond to initial partnership requests and forward them to German. Runs audits of past inquiries to ensure anyone missed during busy periods are followed up with.

  • Able to coordinate the production of CCRRP merchandise and upsell them to clients. Ensure volunteers get the free merchandise they are entitled to.

  • Assist lending and accounting for our diving equipment, tanks, bikes and laboratory equipment as needed

  • Coordinate and update general coral restoration statistics for our platforms and projects 

Performance Evaluations

  • Responds to inquiries from email and social media within 1 hour during business hours

  • High reviews from exit surveys of clients when asked about how bookings were handled

  • High reviews from exit surveys of volunteers and students that they coordinate

  • Increase in sales due to getting potential clients to book and/or upsold to take more courses

  • Increase in restoration metrics due to volunteers and students being well managed
